Club Terms & Conditions

General Terms 2025

The club is owned and run by members led by an elected and unelected group of volunteers in a committee. Members are expected to respect this set up and reflect this in their own behaviour by treating the club facilities with respect and taking responsibility for its security and upkeep. Please help us by leaving the club as you find it.

Facilities are used for the participation in our sports and social activities only.

Safety is paramount and members are expected to be vigilant and challenge fellow members and other visitors when on our premises. Members and visitors are asked to familiarise with our safeguarding policies and keep all access codes to themselves and do not share even if people ask and appear to be authorised members or visitors as codes are available to all members.

Club access

The code(s) to access the club/padel courts etc are displayed on the homepage of the members portal that you will gain access to once you’ve purchased / renewed a membership.

Please ensure perimeter gates are locked and building doors closed/locked if you are the last person leaving the club. If in any doubt lock the gates as any member will be able to let themselves out.

Membership payment

To join as a member, you will need to pay the relevant joining fee plus the monthly fee for the month that you join in. It is a mandatory requirement that all members add a valid payment card to their accounts to allow auto renewal of future monthly payments.
Failure to add a payment card will incur an administration fee of £25. This fee helps cover the administrative costs associated with manual membership renewals.

If your payment fails you will be unable to use the club until you have paid your membership fee, you will receive notice if your payment has failed.

Membership Pauses

Members are allowed to pause their membership once per calendar year free of charge.

Each pause must be requested in writing stating your full name and the reason for the pause. Specify the start and end dates of the desired pause period in advance (at least 2 weeks ahead). The pause decision is subject to approval, the duration of each pause period can be up to 6 calendar months.

Members must have a valid reason for pausing, which must be specified in their request, pauses cannot be backdated to cover periods prior to the request. After the allowed pause per year, any additional pauses will be subject to a £25 administration fee. This fee helps cover the administrative costs associated with processing multiple pause requests.

Please note on occasion we do apply restrictions to padel membership numbers, should a cap be in place when you want to return from a pause you may have to go on our waiting list to await a space for return.

Membership Cancellation

If you would like to stop your membership, please e-mail info@harboroughsquash.co.uk and remove your payment card. You will be a member until the end of the month that you cancel in and can use the club until then. If you wish to re-join the club you will need to pay a joining fee again.

Price increases

Membership price reviews happen on the 1st April each year and will be communicated by email or other media at least 1 month prior.

Cricket Net Booking

To use the cricket net area please ensure you book via the Hello Club portal.

Children under 14 must be supervised.

Booking and cancelling courts

All courts must be booked and cancelled via the members portal accessed at https://harboroughcsc.helloclub.com/login. If you need to cancel your court please do this as soon as you know in fairness to other members.

We will not allow court bookings to be made by any means other than the user interface of Hello Club.

Use of scripts/AI/booking bots or other means is not a valid way of booking courts and any court bookings made using these will be cancelled.

Peak/Off-Peak Periods – Padel Only

Peak Periods – Mon- Fri 5pm-9pm, Sat/Sun/Bank Hols – 12- 6pm

Any peak bookings made from Monday-Sunday will count towards your maximum 3 hour peak slots per week per full member (2 hours on your own booking, one added to someone else’s booking)

All courts during both peak and off-peak must have 4 members in play, you can no longer use courts for solo practice or 2 player drills.

Coaching will follow the same rules and so it will be 1 coach with 3 members on court

Adding other players – Padel only – new timeline rules:

To prevent court cancellations at the last minute we will check bookings, any courts that have less than 4 members booked on 2 days before play may be cancelled.

We will check courts at 10am 2 calendar days before the booking (e.g. your booking is on Thursday at 6pm you need to have your players added by 10am on Tuesday).

If a court is booked last minute (less than 48 hrs) we understand you will need time to fill the court therefore the 2 day rule won’t apply

Guests/Non-members

You are welcome to bring guests to play in off peak times for £10 per person per session. Book via Hello Club, add guest(s) to your booking and pay the fee. Feel free to bring social (non-playing) guests to the club without charge. ALL guests must be added to a booking and paid for in advance.

Under 19’s

All under 19’s must wear goggles on squash courts. We welcome and encourage junior members at the Club but in line with our Safeguarding policy children under the age of 14 are not allowed to be left at the Club unsupervised.

Equipment

For the squash courts, please wear non-marking, clean shoes that are not used outdoors. Goggles are recommended for all members playing on the squash courts. On Padel courts a wrist strap must be worn at all times whilst playing.

Leagues

All levels of members are welcome to join the leagues for Squash, Racketball or Padel Tennis and it is a great way to get to know other players of a similar level. The leagues renew every month (two months for Padel) and you can join or leave the leagues once you are logged in to the members portal.
